The way we work

Whether it’s a team-building for 10 people, a seminar for 50 people, or a convention for 400 people, our organization process is usually the same.

Of course, they don’t all require the same logistical resources, but in all cases, we will do everything we can to make your task easier and ensure that the organization of your stay is as seamless as possible.

Request a quote

To get in touch with us, you have several options: by phone, by email, or through our quote request form.

An event manager will call you within hours of your request to clarify any doubts or refine your request.

After this call, we will make as many inquiries as possible regarding prices and availability from our suppliers in order to provide you with the most comprehensive and suitable proposal for your request.

First proposal

In the following days, usually within 48-72 hours, we will send you a quote by email.

It consists of two documents:
A pleasant and clear presentation of the stay, including photos and descriptions of each service, as well as a proposed day-by-day itinerary.
A detailed cost proposal indicating the reservation terms and conditions.

Program refinement

Depending on the evolution of your project, the proposal may also be subject to changes. We will communicate with you to modify, remove, or add elements.

You will be in contact with a single point of contact: the project manager who has been assisting you from the beginning and will be present during the event.

Validation of quotation

Once the program is finalized, we will send you a final quote for your review and signature. Following that, a deposit payment will be required, the amount of which will be indicated in the quote.

Upon receipt of the signed quote and deposit payment, we will send you a receipt and proceed with confirming the pre-bookings that have been made.

Organization

In the weeks leading up to the stay, we maintain regular contact with you to confirm the details such as menu selection, any necessary adjustments to timing or participant numbers, rooming list, etc.

A few days before the stay, we will send you a detailed itinerary containing all the practical information necessary for the smooth execution of your stay: schedules, meeting points, recommended attire, etc.

Stay

Your event manager will greet you upon your arrival at the destination and will be present at all necessary moments (arrival at a restaurant, beginning of an activity, etc.) to ensure that everything goes smoothly.

However, depending on the nature of your stay, your preferences, and your budget, we can arrange for either comprehensive support or greater independence. This aspect will be determined with you before the finalisation of the quote.

  • ARE YOU BASED IN SPAIN?

    Absolutely; our offices are located in the city center of Barcelona. Our company is registered in Spain (VAT number: ES-B65971715), and we hold a Spanish travel agency license (GC-002912).

  • OUR SEMINAR IS ONLY A FEW DAYS AWAY. IS IT TOO LATE TO CALL ON YOU?

    No, it’s not too late. We are often involved in organizing last-minute arrangements. However, we can only recommend that you don’t delay too much. In addition to potentially higher prices, many activities have limited availability or require early organization.

  • WE’VE ALREADY BOOKED ALMOST EVERYTHING, WE JUST NEED TO ORGANIZE ONE OR TWO SERVICES/ACTIVITIES, CAN WE CALL ON YOU?

  • WHICH PAYMENT METHODS DO YOU ACCEPT?

    We offer two methods of payment: bank transfer or credit card payment. Bank transfer is the preferred solution chosen by 95% of our clients.

  • DO YOU ORGANIZE FLIGHTS OR TRANSPORT FROM OUR HOME COUNTRY?

    In principle, no – our mission begins upon your arrival at the destination. However, this does not prevent us from conducting research, providing flight suggestions or combinations, and then allowing the client to book their flights themselves. While it is not our specialty, we occasionally offer flight reservations to clients who expressly request it.

  • HOW DO YOU ORGANIZE YOUR STAY?

    1. Since our offices are located in Barcelona, the organization is primarily done remotely, unless there are exceptional circumstances. The initial contact is usually made through email or our quote request form, but you can also reach us by phone (see contact).
    2. After understanding your needs, typically through a phone conversation, we will send you a detailed quote by email, consisting of one or more proposals that can be modified as needed.
    3. Once you are satisfied, you can confirm your reservation by making a deposit payment, the amount of which will be indicated in the quote.
    4. Upon receiving the payment, we will send you a booking confirmation, including information such as the remaining amount to be paid (in the case of a partial payment), and later on, a detailed itinerary containing all the necessary information for a smooth execution of your stay (itinerary, meeting points, etc.).

  • THE NUMBER OF PARTICIPANTS IS STILL UNCERTAIN, CAN WE MODIFY THE BOOKING AFTER PAYMENT OF THE DEPOSIT?

    We always strive to be as flexible as possible. We understand the challenges of organizing a trip for a large number of people and are accustomed to such modifications. Therefore, if we can accommodate a reduction in the number of participants with minimal costs, we will do so.
